1. Who we are

Look Who's Fit ("we", "us") is a fitness coaching studio at 4081 L B McLeod Road, Suite E, Orlando, FL 32811. This policy explains what personal information we collect through this website, how we use it, and the choices you have. Questions can be sent to lookwhosfit@gmail.com.

2. Information we collect

We only collect what you choose to give us through the forms on this site, plus limited technical information needed to run it:

• Consultation inquiries and bookings: your name, phone number, email address, the appointment type and time you choose, and your consent to be contacted.
• Pre-screen questionnaire: your answers about your goals, current activity, schedule preferences, how you heard about us, and two health questions about injuries or limitations and medical restrictions.
• Card on file: when you book, your card is entered directly with our payment processor, Stripe. We never see or store your full card number. We keep only the card brand, the last four digits and Stripe reference IDs.
• Messages: anything you send through the Contact form or your private conversation link.
• Trainer applications: your name, contact details, certifications, experience and the information you choose to share about your coaching business.
• Event inquiries: your name, contact details, organization and details about the event you are planning.
• Technical information: basic data your browser sends when you visit (such as device type, browser and pages viewed), and information stored in cookies or similar storage as described below.

3. Your health answers

The two health answers in the pre-screen questionnaire (injuries or limitations, and medical restrictions) are used only to prepare for your consultation or session and to keep you safe. They are visible only to the owner. They are never shared with anyone else, never used for marketing, and never sent to analytics or advertising tools.

These answers are not medical advice and do not replace clearance from a licensed medical professional.

4. How we use your information

• To schedule, confirm, remind you about, reschedule or cancel your appointment.
• To prepare for your consultation or session and coach you safely.
• To reply to your messages, applications and event inquiries.
• To charge the $25 fee only if you do not show up or cancel less than 24 hours before your appointment, as described in our Terms of Service.
• To keep the site secure, prevent spam and abuse, and understand how the site is used so we can improve it.

We do not sell your personal information.

5. Who we share it with

We share information only with service providers that help us run the business, and only as needed for that service:

• Stripe, to securely store your card and process any fee.
• Our website hosting and database providers, which store the information you submit.
• Email and text message providers, to send appointment confirmations and reminders when those are turned on.
• Analytics and advertising tools such as Google Analytics and Meta Pixel, if and when they are installed. They receive general visit and page information, never your form answers or health information.

We may also disclose information if the law requires it or to protect the safety of our members, staff or the public.

6. Cookies and similar technologies

This site uses cookies and browser storage that are needed for it to work, such as keeping the owner signed in and securely loading the Stripe card form. If we add analytics or advertising tools, they may set cookies to count visits and measure how people find us. You can block or delete cookies in your browser settings; some parts of the site may not work properly without them.

7. How long we keep it

We keep your information for as long as we need it to provide our services, keep accurate business and payment records, and meet legal obligations. You can ask us to delete your information at any time, and we will do so unless we are required to keep it.

8. How we protect it

Your information is stored with access limited to the owner. Private appointment and conversation links use long, unguessable codes. No method of storing data online is completely secure, but we take reasonable steps to protect it.

9. Your choices

You can ask to see, correct or delete the personal information we hold about you, or ask us to stop contacting you, by emailing lookwhosfit@gmail.com. You can also reply STOP to any text message to opt out of texts.

10. Children

This website is not directed to children under 13, and we do not knowingly collect information from them online. Sessions for minors are arranged with a parent or guardian.

11. Changes to this policy

We may update this policy from time to time. The "Last updated" date above shows when it last changed.
